Product FAQ
Answers to common questions about Kye's process intelligence platform. For technical or security questions, please see our Security page.
What Is Kye
What is Kye's process-intelligence platform and how is it different from traditional RPA or BPM tools?
Kye is a desktop application with AI that observes how work really flows, builds a live process model in hours, and spins up automation agents that adapt with your business. The Operations X-ray is the core of this - it maps your real workflows and quantifies every bottleneck before a single agent is deployed.
Why leaders choose Kye:
- No interviews or system integrations - install, sign-in once, and Kye does the work for you.
- Learns at the team and process level, so employees keep privacy and focus.
- Shows the top bottlenecks with cost and time impact so you can act where it matters most.
- Every agent is built on your rules, with human-in-the-loop oversight and a complete audit trail.
What is the difference between process mining and task mining?
Process mining and task mining are complementary approaches that together give a complete picture of how work actually flows.
Process mining analyzes event logs from your business systems (ERP transactions, CRM updates, help desk tickets) to map how work moves through formal processes. It answers questions like: how long does an invoice take to approve, and where does it get stuck? Traditional process mining tools like Celonis are built on this approach. The limitation is that it only captures what your systems log. The Excel workarounds, manual copy-paste between applications, and email chains that make up the majority of mid-market operational work are invisible to it.
Task mining observes actual human behavior at the desktop level: every click, keystroke, and application switch as staff move through their real work. It captures the fine details of how work actually happens, including everything that happens outside formal systems.
Kye combines both. The Operations X-ray captures observed desktop behavior across every application your team uses, then builds a process model from that ground truth. You see not just what your systems record, but what your people actually do, including the workarounds, exceptions, and manual steps that consume the most time and cost the most money.
What is the Operations X-ray?
The Operations X-ray is Kye's AI-powered discovery phase. It captures your team's actual desktop workflows, quantifies every inefficiency in hours and dollars, and delivers a ranked automation roadmap in 4 weeks.
- Process maps generated automatically from millions of captured interactions.
- Pain-point analysis that highlights the biggest time and cost sinks.
- Automation opportunity sizing ranked by annual dollar impact and implementation difficulty.
Discovery alone has delivered 10x+ ROI for customers and you see the full business case before committing to agents.
How fast can Kye be deployed, and is it really 'zero-integration, zero-overhead'?
Teams are live the same day; workers don't notice it running.
- Single desktop app delivered via self-install link or MDM.
- No APIs, database connections, or IT project plan.
- Background footprint is minimal, with no impact on everyday tasks.
What operating systems does Kye support?
Does Kye require access to our ERP, TMS, or system logs to map our workflows?
No. Kye's desktop agent observes how your team actually uses their applications. It doesn't connect to, query, or require access to any underlying system.
Traditional process mining tools like Celonis are built on event logs extracted from ERP and CRM systems. That means they only see what those systems record. The manual workarounds, copy-paste steps, spreadsheet lookups, and email chains that make up the majority of mid-market operational work are invisible to them. Getting the data out requires an IT integration project before you learn anything.
Kye works the other way around. The desktop agent installs in minutes, observes your team's actual behavior across every application they use, SAP, AS/400, Salesforce, Excel, Outlook, your TMS, your browser, and builds the process model from that ground truth. No APIs, no connectors, no system access required.
This is especially valuable for mid-market operations where work spans legacy systems, spreadsheets, and email that were never designed to produce structured logs. Kye sees all of it.
I want to automate but don't know where to start; how does Kye help?
How It Works
What does the Ops Sprint include and what happens after it?
The Ops Sprint is Kye's free, no-commitment entry point. Five users, five days. Kye's lightweight desktop agent observes your team's actual workflows across every application they use. At the end of the sprint you receive:
- An individual debrief with a survey of findings specific to your operations
- Two major bottleneck opportunities identified and quantified in hours and dollars
- A group readout with 2–3 peer companies, so you see how your operations compare
After the sprint, you decide. If the ROI is there, you move to the Ops Build. If it isn't, you walk away with more operational clarity than many companies get from a consulting engagement.
What does the Ops Build include and how long does it take?
The Ops Build is a 60-day engagement.
What's included:
- Full Operations X-ray (Days 1–30) — Kye observes your entire operations team, maps every workflow from real behavior, and delivers a complete bottleneck map with every inefficiency quantified in hours and dollars. You see exactly what to fix and what it's worth before a single agent is deployed.
- First AI agent deployed (Days 30–60) — Built on the ground truth captured by the Ops X-ray. Configured to your actual decision patterns, business rules, and exceptions, not generic templates. Deployed in 1–2 weeks on your highest-value bottleneck.
- Kye Pulse — Activated after deployment. Continuously measures adoption and real impact across all relevant applications, not just agent logs. Surfaces new bottlenecks as they emerge.
- Weekly improvement cadence — Optional weekly sessions with your leadership team for the full 60 days to maintain momentum and surface the next opportunity.
- Champion coaching — Connection to peer companies of similar size who have walked the same path.
Two guarantees back every Ops Build:
- Partner guarantee - If for whatever reason you're uncomfortable in the first 14 days we'll give you your money back no questions asked.
- Improvement guarantee - If the first agent doesn't deliver the target savings in the first 30 days, we'll keep working until it does at no additional cost.
Can we add more agents after the first one?
Yes. After the initial Ops X-ray and first agent deployment, additional agents can be added in roughly 1–3 weeks each. You don't need to repeat the full discovery process — the ground truth captured by the Ops X-ray carries forward, and Kye Pulse continuously surfaces the next highest-value opportunity as it emerges.
Each additional agent carries its own build, configuration, and deployment costs, but without the time and overhead of a full re-discovery cycle. Most customers find that the second and third agents deploy faster and cheaper than the first, as the process model matures and the highest-value opportunities become clearer.
The Ops Build is designed with this expansion in mind. The weekly improvement cadence and next-bottleneck surfacing are specifically there to identify where to go after the first agent proves ROI.
How does Kye discover hidden process gaps and recommend the highest-value automation opportunities?
By building a data-driven process model and surfacing the top pain points ranked by hours and dollars lost.
- Highlights repetitive copy-paste loops, approval queues, and rework.
- Updates the list as volumes and customer rules change.
ROI & Business Case
What measurable ROI have companies achieved after deploying Kye?
Our customers typically unlock 20–50% more capacity and compress cycle times by 50–80%, deployed in 3 to 8 weeks. See our customer stories page for detailed case studies.
Recent results:
- $500K in working capital recovered at Cultivate BHE by automating billing validation across 40+ clinics in just 2 weeks.
- 40% capacity increase at Mosaic - a team of 8 now produces the output of 11, with zero headcount growth.
- 75% faster part-sourcing cycle at Amidyne, turning tribal knowledge into a digital playbook in eight weeks.
- 30%+ hidden capacity identified at a global bill audit leader in 6 weeks. Discovery alone delivered 10x+ ROI and gave leadership direct leverage in a buyout.
(All figures drawn from live customers.)
What are Kye's guarantees?
Two guarantees back every engagement:
- Partner guarantee - If for whatever reason you're uncomfortable in the first 14 days we'll give you your money back no questions asked.
- Improvement guarantee - If the first agent doesn't deliver the target savings in the first 30 days, we'll keep working until it does at no additional cost.
Most process intelligence vendors ask you to absorb all the deployment risk. Kye's position is that if the Ops X-ray identified the opportunity and quantified the ROI, the agent should deliver it. If it doesn't, that's Kye's problem to fix, not yours.
We've been quoted $150K+ for a consulting engagement. Is process automation software a better option for quantifying and fixing our operational bottlenecks?
For most mid-market operations teams, yes.
Consulting discovery works by pulling your most overworked people off the floor to describe their jobs in workshops & interviews. They recall last week's fire drill as steady state, so the process map models the exception. You pay $75K–$500K for a snapshot of a problem that may no longer exist by the time the slide deck is delivered. Actually executing on it is a separate engagement.
Observation-first automation works differently. Instead of asking people to describe their work, you watch how it actually happens. That produces a defensible ROI number before any budget is committed, based on your workflows, not a vendor's benchmark.
The evidence shows measurable ROI is achievable in 90 days or less. Cultivate BHE recovered $500K in working capital within 2 weeks of their first agent going live, found by observing that 40% of billing time was lost to manual scrubbing. None of that came up in interviews. Mosaic added 40% capacity to an eight-person team in under 90 days.
Consulting is still important for organizational change management, M&A strategy, board-level narrative work. What Kye replaces is the discovery and scoping engagement that produces a document instead of a result.
For a full breakdown of the 90-day approach, see Workflow Automation Without a Consultant.
We're PE-backed with a 90-day mandate to show operational improvement. How quickly can Kye deliver results?
Kye is built for exactly this situation. The Ops Build is a 60-day engagement by design with discovery and first agent deployment within the window most PE mandates require.
Here's how the timeline works:
- Weeks 1-4: The Operations X-ray observes your team's actual workflows across every business application they use. Every bottleneck gets quantified in FTE hours and dollars before any budget is committed. You have a board-ready business case before a single agent is deployed.
- Weeks 4-7: Your first agent goes live on the highest-value Quick Win identified by the X-ray, scoped to one repeatable task, measured against the pre-deployment baseline. Most first agents deploy in 1-2 weeks.
- Weeks 8-12: Additional agents deploy in 1-3 weeks each. The Ops X-ray already mapped the next priority workflows, so there's no restart of discovery.
The wrong fix, costs more than a slow start. The Ops X-ray gets you to a number your finance team can defend before you commit budget based on your workflows, not a vendor's benchmark.
Cultivate BHE recovered $500K in working capital within 2 weeks of their first agent going live. A global bill audit leader used the Ops X-ray to give their PE sponsor precise leverage in a buyout, with discovery alone delivering 10x+ ROI.
If your board meeting is in 60 days, the Ops Sprint (free, 5 days) is the fastest way to start.
For the full 90-day breakdown, see Workflow Automation Without a Consultant.
How does Ask Kye accelerate decision-making?
Ask Kye turns every process event into a conversational analytics layer. Get answers in minutes instead of weeks, with no BI tool or internal consulting team required.
At Mosaic, Ask Kye helped the team unlock 40% more capacity by surfacing exactly where AI would pay off. At a global bill audit leader, executives used Ask Kye to shift roadmap decisions from days to minutes, and the resulting insights delivered 10x+ ROI during an acquisition.
Can Kye help with M&A due diligence or transaction readiness?
Yes. Kye delivers a quantified operations assessment that works on every side of the table:
- Sell-side — confidently prove your operational upside to the buyer's diligence team.
- Buy-side — see and measure the opportunities before you close.
- Post-close — start transformation on day one, not month six.
A global bill audit leader used Kye's Ops X-ray to map 200+ specialists across four continents. The CEO reported Kye delivered more than 10x ROI by giving leadership precise leverage in the deal. They knew exactly where the savings were and how fast they could be captured.
How does Kye protect against key-person risk?
Kye captures how your experts actually work and turns tribal knowledge into a digital playbook anyone can follow. When someone retires or leaves, the process keeps running.
- At Amidyne, Kye captured a senior engineer's complex parts-sourcing workflow. Juniors now run the playbook confidently, and the sourcing cycle is 75% faster.
- When a senior biller retired at Cultivate BHE, Kye deployed a replacement billing workflow in 2 weeks across 40+ clinics, recovering $500K in working capital.
Deployment & Technical Fit
How is the desktop agent deployed across a team?
Two options:
- Self-install link — each team member receives a link, installs the agent in minutes, and signs in once via an email link (no username or password required). No IT involvement needed.
- MDM (Mobile Device Management) — for larger deployments or organizations with centralized device management, the agent can be pushed across the team via your existing MDM tooling.
Either way, the agent has a minimal background footprint and no impact on everyday tasks. Workers don't notice it running.
For the Ops Sprint (5 users, 5 days), self-install is the default. Most teams are live the same day.
Does Kye plug into our ERP and CRM, or run alongside them without disrupting IT?
How does Kye handle phone-heavy roles?
For roles where staff work across phone and computer simultaneously (customer onboarding, collections, carrier management, claims intake) Kye offers optional VoIP integration that captures phone activity alongside desktop behavior.
Most process intelligence tools only see what happens on screen. For phone-heavy roles, that means missing a significant portion of where time actually goes. A collections agent who spends 40% of their day on calls, switching between their phone and CRM, will look artificially efficient in desktop-only data.
Kye's VoIP integration closes that gap. You get a complete picture of the full workflow, on the call and on screen, along with how the two interact. This means the Operations X-ray reflects reality rather than a partial view of it.
The integration is optional and configured during setup. Like all Kye data collection, it is subject to full employee transparency and your organization's approved scope.
How can Kye automate invoice processing, inventory reconciliation, and other labor-heavy workflows?
- Understands today's flow across Outlook, Excel, Teams, SAP, AS/400, Salesforce, HubSpot, VPN sessions, and thousands more.
- Quantifies waste such as manual keying, double entry, and late-fee risk.
- Trains custom agents for OCR, data matching, etc., in days, not months.
- Shows impact through Kye's dashboards, reports, or ad-hoc "Ask Kye" queries. No extra BI tool required.
Can Kye work across multiple locations or a distributed team?
Yes. Kye's lightweight desktop agent deploys via self-install link or MDM across any number of locations and operating systems. There are no on-site hardware requirements and no network dependencies that limit deployment to a single office.
Kye has deployments across distributed operations including:
- 40+ clinic locations at Cultivate BHE
- Logistics teams coordinating across multiple geographies at Mosaic
- 200+ specialists across four continents at a global bill audit leader
For multi-site deployments, the Operations X-ray builds a unified process model across all locations, so you can see both where workflows are consistent and where individual sites have developed their own workarounds. That cross-site visibility is often where the most valuable standardization opportunities surface.
Data residency is configurable for organizations with compliance requirements around where data is stored and processed.
Can Kye scale globally and adapt when regulations change?
The platform is architected for thousands of concurrent users and tens of millions of daily events, and its controls are updated as regional rules evolve.
- Active deployments on four continents.
- Keeps pace with GDPR, CCPA, PIPEDA, and other major frameworks.
Continuous Improvement
How does Kye measure whether an agent is actually working?
This is exactly what Kye Pulse is built for. Most automation tools only look at agent logs: did the agent run, did it complete. Kye Pulse observes activity across all relevant applications, so it catches the full picture.
Specifically, Kye Pulse:
- Measures actual adoption — not just whether the agent ran, but whether staff are using the new workflow or reverting to the old one
- Quantifies real impact — before-and-after comparison of cycle time and hours consumed, based on observed behavior rather than agent logs
- Detects downstream effects — catches cases where an automation saves time in one system but creates extra work in another
- Surfaces new bottlenecks — as workflows evolve, Pulse identifies the next improvement opportunity and builds an agent update ready for you to deploy
Kye Pulse samples staff activity continuously, so the feedback loop runs at a fraction of the cost of a full Ops X-ray. Customers who need deeper analysis for specific users can opt to process 100% of data for those users in a given month.
Can I use Kye to help us iteratively improve our automations?
My business has many unique processes — how could Kye help me automate?
Industry Fit
What industries does Kye work best in?
Kye works best in industries where operations teams spend significant time on repetitive, high-stakes digital work across multiple applications.
Healthcare services: billing validation, claims scrubbing, prior authorization, clinical workflow automation, and patient intake across multi-site care organizations. Kye is HIPAA compliant with BAA available. Cultivate BHE recovered $500K in working capital and automated billing across 40+ clinics in 2 weeks.
Logistics and supply chain: carrier communication, shipment tracking, POD retrieval, customs documentation, freight bill audit, and spot quoting. Mosaic added 40% more capacity with zero headcount growth by automating three core workflows in under 90 days.
Financial services: bill audit, underwriting support, loan processing, revenue cycle automation, and compliance workflows. A global bill audit leader found 30%+ hidden capacity across 200+ specialists on four continents, with discovery alone delivering 10x+ ROI before a single agent was deployed.
Kye has also been successfully deployed in engineering and professional services and private equity and portfolio operations.
Kye is purpose-built for mid-market companies ($10M-$250M revenue) in these industries. If your operations involve complex multi-step workflows spanning multiple systems, and you need to quantify the waste before committing to automation, Kye is built for your environment.
Does Kye work in healthcare and other regulated industries?
Yes. Kye is built for regulated environments including healthcare, finance, and logistics.
- HIPAA compliant with BAA available and PHI handling procedures for healthcare operations.
- SOC 2 Type II certified, with automatic PII scrubbing and VPC deployment options.
Cultivate BHE, an ABA therapy provider with 40+ clinics and 1,000+ providers, deployed Kye to automate billing validation in 2 weeks. They recovered $500K in working capital and returning 1,000+ hours/year of leadership capacity to patient care. Based on those results, they are now deploying Kye to their patient intake team.
We want to deploy AI but don't know where it fits. How is Kye different from a typical AI vendor?
Most AI vendors sell a solution looking for a problem. Kye starts with evidence.
The Operations X-ray measures your actual workflows first, identifies where AI creates real ROI, and sizes the opportunity in dollars, so you invest in the right place, not the flashiest one.
- 46% labour savings identified in the first 4 weeks at Mosaic, with agents deployed and 40% capacity recovered in under 90 days.
- Evidence-based roadmap targets the processes with the highest payback, not the ones easiest to demo.
See our AI Readiness solution for more on this approach.
Security, Privacy & Compliance
How does Kye keep my data secure?
Kye's security architecture is designed for regulated industries from the ground up:
- You control the scope — Kye only observes applications you explicitly whitelist.
- Read-only by default — during the Operations X-ray, Kye observes but takes no actions and writes nothing to your systems. Agent actions are opt-in only.
- Automatic PII scrubbing — industry-standard Microsoft Presidio removes personally identifiable information before analysis. Outputs are also checked before reaching users.
- Data sovereignty — you retain full ownership of your data, choose your residency region, and can request deletion anytime.
- VPC deployment available — for regulated enterprises, Kye can be deployed in your own cloud environment with full VPC isolation.
- No model training on your data — contractually guaranteed. Kye will not train models on your data without explicit permission.
- Regular third-party penetration tests and full audit logs are standard.
See our Security page for full details, or contact security@kye.ai.
How does Kye handle employee privacy and transparency?
Kye is built on the principle of full employee transparency. Before deployment, every employee is informed that Kye is running, what it captures, and what it does not capture. We're focused on improving the processes and tools, not individual performance.
Three controls protect employee privacy by design:
- Application whitelisting — Kye only observes applications your organization explicitly approves. Personal browsing, personal email, and anything outside your defined scope is never captured.
- Sensitive data scrubbing — industry-standard models, including Microsoft Presidio, automatically detect and redact sensitive PII and PHI before data is analyzed, including: financial account numbers, payment data, government IDs, and patient health information. Outputs are also checked before reaching users.
- Team-level analysis — Kye learns at the team and process level, not the individual level. The goal is identifying where workflows break down, not monitoring individual performance.
Kye's position is that transparency is not just a compliance requirement, it's what makes the data trustworthy. Employees who know Kye is running and understand why tend to work normally, which means the process data reflects reality. Hidden monitoring produces behavior change, which defeats the purpose of process intelligence.
What data does Kye actually capture, and what does it not capture?
Kye captures observed desktop behavior across the business applications your organization explicitly whitelists: application usage, workflow sequences, timing, and decision patterns as staff move through their actual work. This is what powers the Operations X-ray process model.
What Kye captures:
- Application activity within your approved scope (e.g. your ERP, CRM, email, Excel, browser sessions on approved sites)
- Workflow sequences and timing: how work moves between applications and where it slows down
- Optionally, VoIP phone activity for roles where staff work across phone and computer simultaneously
What Kye does not capture:
- Any application outside your explicitly whitelisted scope
- Personal browsing or personal email
- Sensitive PII and PHI — sensitive PII including financial account numbers, payment data, government IDs, and patient health information are automatically redacted using Microsoft Presidio before analysis
- Anything your organization has not approved
During the Operations X-ray, Kye is read-only. It observes but takes no actions and writes nothing to your systems. Agent actions are opt-in only and come after the X-ray is complete.
You retain full ownership of your data, choose your data residency region, and can request deletion at any time. Kye will not train models on your data without explicit permission, this is contractually guaranteed.
For full technical detail see our Security page or contact security@kye.ai.
What compliance certifications does Kye hold?
Kye is certified and audited for the most demanding environments:
- SOC 2 Type II — annual third-party audit of security controls, availability, and confidentiality.
- HIPAA — BAA available, with PHI handling procedures for healthcare operations teams.
- GDPR — EU data residency options, DPA available, privacy by design.
Kye also maintains alignment with CCPA and PIPEDA privacy regulations, with controls updated as requirements evolve. To obtain a copy of the SOC 2 report, reach out to security@kye.ai or visit our Security page.
What happens to our data if we stop using Kye?
You retain full ownership of your data at all times. If you stop using Kye, you can request deletion of your data at any time and it will be removed. Kye will never use your data to train models without your explicit permission. This is contractually guaranteed, not just a policy.
For questions about data deletion or to initiate a request, contact privacy@kye.ai.
Comparisons & Alternatives
How is Kye different from RPA tools like UiPath or automation platforms like Zapier?
RPA tools like UiPath and automation platforms like Zapier are execution tools. They automate workflows you've already defined. The burden is on you to know what to automate, map every nuance yourself, and maintain the bots as systems change. Every ERP update, API change, or new software deployment can break existing automations and require developer intervention to fix. UiPath in particular requires specialized RPA developers, certified implementation partners, and months of configuration before anything runs.
Zapier is simpler but more limited. If you know that an invoice arriving in Gmail should create a row in a spreadsheet, Zapier wires that up quickly. What it can't do is tell you which workflows are worth automating in the first place and the complex business rules that go with them.
Kye starts one step earlier. The Operations X-ray observes how your team actually works, identifies where the bottlenecks are, and quantifies it in dollars before any automation is built. The agents Kye deploys are built from your actual decision patterns, business rules, and exceptions, not generic templates or assumptions. Because Kye agents are built on observed behavior rather than brittle API connections, they adapt as your team's work evolves.
The practical difference: RPA and Zapier require you to bring the answers. Kye finds them.

How does Kye compare with Celonis, UiPath, and other process-mining or automation vendors?
| Kye.ai | Celonis / UiPath | |
|---|---|---|
| Time to first insight | Hours | Weeks–Months |
| Data coverage | Structured + user interaction context | System logs only |
| Coding required | None | RPA scripts / BPMN |
| Scaling | Add more users | Build new connectors |
| Agent oversight | Human-in-the-loop + full audit trail | Varies by implementation |
| Your data | No model training (contractual) | Varies by agreement |
Kye surfaces insights faster, captures unstructured work others miss, and trains tailored agents, built on your rules, without the consultant price tag.
How is Kye different from general AI assistants like Copilot or Claude?
Copilot and Claude are genuinely useful tools. They help individuals work faster on writing, research, and analysis. That's real value, but it's individual productivity, not operational improvement.
Company-wide assistant rollouts consistently produce the same result: usage metrics go up, individuals feel more productive, but three months later no one can point to a material improvement in how the business runs. Three specific failure modes explain why:
- Measurement — teams get rewarded for token usage, not business outcomes. You end up measuring activity, not P&L impact.
- Coordination — five people on the same team build the same tool five slightly different ways. You end up with many variations on the same private tools instead of one process the team runs together.
- Data access — the agents that actually move the needle need broad access to payments, risk scoring, and customer history. You can't hand that to 100 people without accepting serious governance risk.
Kye observes how work actually flows across your entire operations team — every application, every handoff, every exception — quantifies exactly what each bottleneck is costing you, and deploys governed agents that execute the fix. Every agent is tested, logged, and built to engineering standards. No shadow automation, no ungoverned access, no silent failures.
A useful way to think about it: if your board wants a culture shift and AI fluency, assistants are the right starting point. If your board wants P&L improvement, you need a platform.
For a deeper look at how to choose between AI assistants and AI automation platforms, see AI Assistants vs. Automation Platforms.
